Job Description
We are seeking a highly organized, proactive, and professional Personal Assistant to provide high-level administrative, coordination, and operational support to the Sales & Marketing Director.
KEY RESPONSIBILITIES
1. Manage the Sales & Marketing Director's calendar, appointments, meetings, and daily schedule.
2. Coordinate meetings and business engagements, including the preparation of agendas, presentations, reports, and other required documents.
3. Manage emails, telephone calls, correspondence, and other communications on behalf of the Director.
4. Coordinate the flow of information between the Director and internal and external stakeholders.
5. Attend meetings when required, take accurate minutes, and maintain records of action points.
6. Follow up with relevant employees or stakeholders to ensure assigned tasks and deadlines are completed.
7. Prepare and maintain accurate, organized, and confidential records, reports, correspondence, and other documentation.
8. Assist in the preparation of reports, presentations, and other business documents.
9. Support the coordination of sales and marketing activities, events, customer engagements, and business meetings.
10. Coordinate travel arrangements, itineraries, and other business-related activities for the Director.
11. Monitor outstanding assignments, requests, and deadlines and provide timely reminders and follow-ups.
12. Assist with data collection, analysis, and reporting when required.
13. Provide general administrative and operational support to the Sales & Marketing Director.
14. Perform any other duties assigned by the Director in line with the role.
REQUIREMENTS
1. Diploma, HND, or Degree in Business Administration or a related field.
2. Minimum of 2-3years’ relevant experience in Business Administration or a related field.
3. Additional training or certification in Administration, Executive Assistance, or Office Management will be an advantage.
4. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
5. Strong calendar and schedule management skills.
6. Meeting coordination and minute-taking skills.
7. Ability to prepare professional reports and presentations.
8. Good document management and record-keeping skills.
9. Ability to coordinate travel arrangements and itineraries.
10. Basic data analysis and reporting skills.
11. Ability to use office and digital communication tools effectively.
12. Excellent written and verbal communication skills.
13. Strong time-management and organizational skills.
