Job Description
To provide efficient and responsive administrative, organizational, and logistical services to Executive Management, be responsible for providing full secretarial assistance to the Management team, handle sensitive information in a professional manner and oversee the operations of the Front Desk.
KEY RESPONSIBILITIES
1. Manages diaries and organizes meetings and appointments as well as control access to the CEO’s office
2. Books and arranges travel, transport and accommodation for Executive Management, staff and visitors (airport check-in and pick-up, hotel etc.)
3. Drafts and writes high quality reports and presentations, as required by the CEO.
4. Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments.
5. Writes and distributes comprehensive minutes and action points to all member’s post meeting.
6. Communicates general information from the CEO’s office to all staff members
7. Maintains an effective system for keeping and issuing office keys to staff
8. Liaises with Consulates/Embassies for the acquisition of visa for Executive Management
9. Maintains a professional and personable appearance, behavior and demeanor while receiving visitors, demonstrating the company’s values in all interactions with clients, visitors and colleagues
10. Maintains a high level of housekeeping and cleanliness in the CEO’s office, adhering to health and safety standards and always ensure a safe work environment.
11. Ensures effective management of the Front Desk and Cleaning operations.
12. Receive requests from all departments and organize orders and Business Central documentation for cleaning material and stationaries.
13. Any other duties that may be assigned from time to time.
REQUIREMENTS
1. A Bachelor’s Degree in Business Administration, Management, Communications, or a related field
2. Minimum of five years' working experience as a Personal Assistant
3. Strong organizational and time-management skills
4. Exceptional written and verbal communication skills
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
6. Ability to maintain strict confidentiality and exercise discretion
7. Self-driven, detail-oriented, and proactive in anticipating needs
8. Applicant must live within Accra and its surrounding areas.
